How to Organize Your Perfume Materials

Stop losing track of bottles. A simple system for naming, labeling, and tracking your raw materials.

The problem

After 50+ materials, spreadsheets break down. You have neat 10% dilutions, the original purchase, a re-buy from a different supplier, and three half-empty sample vials. Which one did you actually use in last month''s formula?

A simple system

  1. One name per material — pick a canonical name and stick to it
  2. One entry per material, many batches — each purchase or dilution is a batch
  3. Label everything with material, batch type (pure / dilution %), and date

What to track per material

  • Canonical name and CAS number
  • Category (top / heart / base, or chemical family)
  • IFRA Category 4 limit (auto-filled from CAS in Scent Inventory)
  • Notes on character and use

What to track per batch

  • Source (supplier or parent dilution)
  • Concentration
  • Amount remaining
  • Cost per gram

This separation keeps formulas portable across batches and makes cost tracking actually accurate.
